TrainerHQ is software that dog trainers use to run their business: clients, dogs, training packages, sessions and a client portal. This page explains what information TrainerHQ keeps, why, and the choices you have.
If you are a dog owner, your dog trainer decides what is kept about you and your dog, and is your first contact for questions. TrainerHQ stores that information for them and does not use it for anything else.
What we keep
- Trainer accounts: name, email, password (stored scrambled, never readable), and business details such as business name, phone, address and time zone.
- Client and dog records entered by a trainer, imported from a spreadsheet, or filled in by a client through a sign-up link: names, contact details, address, household contact, dogs' details, vaccine dates, photos, notes and training history.
- Sessions and packages: dates, times, addresses, status, notes and homework.
- Client portal logins: the client's email address and when they last logged in.
- Google Calendar (only if a trainer connects it): TrainerHQ adds the trainer's sessions to their calendar and reads the times of their other events so it can show when they are busy. It keeps an encrypted access key, not the trainer's Google password.
- Technical information needed to run the service securely, such as login cookies and basic server logs.
How it is used
- To let a trainer manage their clients, dogs, packages and schedule.
- To let clients see their own dogs, sessions, homework and package balance in the client portal.
- To send login and account emails (for example a login link or password reset).
- To keep the service secure and working.
We do not sell personal information, and we do not use it for advertising.
Who can see it
- Each trainer's data is kept separate. A trainer only sees their own business's records.
- A client in the portal only sees their own information. Trainer notes stay private unless the trainer chooses to share a session's notes.
- Service providers that run TrainerHQ for us: Supabase (database, logins and file storage), Vercel (website hosting), Google (calendar, only when connected) and our email provider. They may only use the information to provide their service to us.
- We may share information if the law requires it.
Google user data
TrainerHQ's use and transfer of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements. Calendar information is used only to sync the trainer's sessions and show busy times, is never sold, and is never used for advertising. A trainer can disconnect Google Calendar at any time in Settings, and can also remove access from their Google account.
Security
Information is sent over encrypted connections. Access is controlled so each trainer and each client only reaches their own data, and the Google access key is stored encrypted. No system is perfectly secure, but we work to protect your information.
How long it is kept
Records are kept while the trainer uses TrainerHQ. Trainers can archive records and download a full export of their data at any time. When a trainer closes their account, their data is deleted, except where we must keep it for legal reasons.
Your choices
- Dog owners: ask your trainer to see, correct or delete your information, or to turn off your portal access.
- Trainers: you can edit or export your data in the app, or contact us to close your account.
Children
TrainerHQ is meant for adults. We do not knowingly collect information from children under 13.
